1. Introduction

This Privacy Policy explains how Funeral Templates ("we", "us", "our"), a UK sole trader business, collects, uses, and protects personal information through the Trusted Funeral Directors website at trustedfuneraldirectors.co.uk ("the Site").

We take your privacy seriously, especially given the sensitive context in which many visitors find us. This policy is written to comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Who We Are

Funeral Templates is the data controller for personal information collected through this Site. If you have any questions about this policy or how we handle your data, you can contact us at support@funeraltemplates.com.

3. Information We Collect

3.1 Information you give us when claiming a Listing

If you're a funeral director and submit a claim form for a Listing, we collect your name, email address, and the message you provide as evidence of your connection to the business (for example, proof of ownership or your role). We use this to verify your claim and to communicate with you about it.

3.2 Information you give us through our contact page

If you use the contact page to get in touch with us, we collect the information you provide, such as your name, email address, and the content of your message, so that we can respond to your enquiry. We keep this information for as long as reasonably necessary to deal with your query and for a short period afterwards for our records.

3.3 Information collected automatically (analytics)

We use built-in, privacy-friendly analytics provided through our website platform, Directify. This measures aggregate, non-identifying technical information about how the Site is used, including: page views, referrers, traffic channels, country, browser type, operating system, and device type. This data is not tied to your name or email address, and we do not currently use Google Analytics or any third-party advertising trackers on the Site.

3.4 Information collected through affiliate links

The Site currently includes affiliate links to third-party funeral-related products and services. If you click one of these links, the affiliate network or partner may set a cookie or use a similar tracking technology on your device to record that the referral came from our Site, so that we may earn a commission if you go on to make a purchase or take a qualifying action. See section 6 (Cookies) below for more detail.

4. How We Use Your Information

  • To review, verify, and respond to Listing claim requests.
  • To respond to enquiries submitted through our contact page.
  • To manage and update Listings on the Directory.
  • To understand how visitors use the Site, so we can improve it (using aggregate analytics only).
  • To track referrals made through affiliate links, so we can earn commission from qualifying purchases.
  • To meet our legal and regulatory obligations.

5. Our Legal Basis for Processing

  • Legitimate interests — to operate, maintain, and improve a useful and trustworthy directory service, to verify claim requests to keep Listings accurate, and to run our affiliate marketing programme.
  • Contract — where processing is necessary to manage a Listing on behalf of a Listing Owner.
  • Consent — for non-essential cookies, such as those used for affiliate link tracking, which are only set once you've given consent through our cookie banner.
  • Legal obligation — where we need to retain or disclose information to comply with the law.

6. Cookies

Cookies are small text files placed on your device when you visit a website. We use a cookie consent banner on the Site so you can choose which types of cookies you're happy for us to use.

  • Essential cookies: needed for the Site to function properly (for example, remembering your cookie preferences). These don't require consent.
  • Analytics: our built-in Directify analytics currently operates without setting identifying tracking cookies on your device.
  • Affiliate/referral cookies: set by our affiliate network partners when you click an affiliate link, so that a resulting purchase or qualifying action can be attributed to our Site. These are non-essential and only set with your consent via the cookie banner.

You can change or withdraw your cookie consent at any time using the cookie settings link on the Site, or by adjusting your browser settings to block or delete cookies. Please note that blocking certain cookies may affect how affiliate referrals are tracked, though it won't affect your ability to use the Directory itself.

7. Who We Share Your Information With

We use Directify to build and host the Directory, which means Listing, claim form, and contact form data is stored and processed on our behalf using Directify's infrastructure. We don't sell your personal information to third parties. We may share information with professional advisors (such as an accountant or solicitor) or regulators where required by law.

As part of our affiliate marketing programme, anonymised or pseudonymised click and referral data may be shared with our affiliate network partners in order to track referrals and attribute commissions. This doesn't involve sharing your name or email address with those partners unless you go on to interact directly with them (for example, by making a purchase on their site, which is then governed by their own privacy policy).

8. International Data Transfers

Some of our service providers, including Directify and our affiliate network partners, may store or process data outside the UK. Where this happens, we take reasonable steps to ensure appropriate safeguards are in place, such as relying on providers with adequate data protection standards or standard contractual clauses, in line with UK GDPR requirements.

9. How Long We Keep Your Information

We keep claim form and contact form information for as long as necessary to deal with your request, and for a reasonable period afterwards in case of any dispute or follow-up query. We keep aggregate analytics data in a form that doesn't identify individuals, so it isn't subject to the same retention limits. Affiliate referral cookies are retained in line with the relevant affiliate network's own cookie duration, which is typically disclosed in our cookie banner.

10. Your Rights

Under UK GDPR, you have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of your personal information, in certain circumstances.
  • Request that we restrict or object to certain processing.
  • Withdraw consent for non-essential cookies at any time.
  • Request a copy of your data in a portable format, where applicable.

To exercise any of these rights, please contact us at support@funeraltemplates.com. If you're not satisfied with how we've handled your information, you also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

11. Security

We take reasonable technical and organisational measures to protect the personal information we hold. However, no method of transmission over the internet or electronic storage is completely secure, and we can't guarantee absolute security.

12. Children's Privacy

The Directory is intended for use by adults searching for or managing funeral director services. We don't knowingly collect personal information from children, and the Site is not directed at anyone under the age of 16.

13. Changes to This Policy

We may update this Privacy Policy from time to time, particularly as the Directory grows to include new features or affiliate partnerships. We'll post any changes here with an updated "Last updated" date, so please check back periodically.
